3. Purpose for Collecting Personal Data
I collect and process information to:
Respond to customer enquiries.
Arrange, confirm and manage grooming appointments.
Contact customers regarding bookings or services.
Provide safe, appropriate and personalised dog grooming.

4. Legal Basis for Processing
Personal information is processed under one or more of the following lawful bases:
Contract: Where information is necessary to arrange and provide grooming services or manage appointments and payments.
Legal obligation: Where information must be retained for accounting, tax or other legal requirements.
Legitimate interests: Where information is reasonably necessary to maintain accurate grooming records, manage the business, communicate regarding existing appointments or protect the interests of the business and customers, provided these interests do not override individuals' rights.
Consent: Where consent is required, including for particular promotional uses of photographs or optional marketing communications.
Customers can withdraw consent at any time by contacting me. Withdrawal will not make earlier lawful processing unlawful.
5. Client Record Cards and Data Retention
Client record cards are maintained while customers continue using Amy's Pampered Pooches.
Client record cards are retained for 12 months following a customer's last grooming appointment.
After 12 consecutive months without an appointment, records will be reviewed and securely destroyed or deleted, unless there is a valid legal or business reason to retain specific information for longer.
Financial and tax-related information is kept separately where required. HMRC generally requires relevant self-employed business records to be retained for at least five years after the applicable 31 January tax-return deadline.
Enquiry messages and other administrative records are kept for as long as reasonably necessary for the purpose for which they were collected and are periodically reviewed.
Records relevant to an outstanding payment, complaint, legal dispute or other legal requirement may need to be kept for longer.
6. Storage and Security
I take reasonable steps to protect customer information against unauthorised access, loss, misuse or disclosure.
Paper and electronic records are to be kept securely, with access limited to those who genuinely need the information to operate the business or provide an authorised service.
Records are securely destroyed or deleted when no longer required.
7. Sharing Personal Information
Personal information may be shared with service providers where reasonably necessary to operate the business, including:
IONOS, as the website hosting and website service provider.
Relevant email, communications or payment service providers where used.
Professional advisers or relevant authorities where legally required.
Only information reasonably necessary for the relevant purpose will be shared.
If any service provider transfers personal information outside the UK, appropriate data protection safeguards must be in place.
8. Photographs and Marketing
Photographs of dogs may be taken during or after grooming appointments.
Where permission has been obtained, suitable photographs may be used on Amy's Pampered Pooches' website, Facebook, Instagram or other promotional materials.
Customers may withdraw their permission for future promotional use by contacting me.
Any separate marketing emails or messages will be sent only where permitted by applicable data protection and electronic marketing rules.
9. Website Hosting, Analytics and Cookies
The website is created and hosted using IONOS MyWebsite Now.
IONOS MyWebsite Now itself does not use cookies. However, the service includes IONOS SiteAnalytics, which processes technical website usage information for statistical evaluation and technical optimisation.
This may include browser and device information, pages requested, access times, referring websites and anonymised IP address information.
If additional third-party services are introduced, their privacy or cookie requirements will be reviewed and the website's privacy information updated accordingly.
